  1. All Supervisors meet at pick-up location. Lead Supervisor hands wrist band to each of the other supervisors. VIPS will receive their wrist bands after they check in at the venue.

  2. Kids arrive @ Pick-up point & check-in with their designated Supervisor - get their name marked off the attendance role and then get on the bus.

  3. Bus will leave at designated times regardless of whether or not all performers, supervisors & VIPs have arrived. There can be no waiting !!  (We are on a super tight schedule)

  4. Once the bus has exited the motorway - ask students to put away all food and all rubbish into bags provided.

  5. Figure out your estimated time of arrival …and if the bus is going to be late,  call our Production Manager “Mr Pickles” - 0400 228 972 so we can organise your arrival appropriately.

  6. Explain to all students that you are about to hand out  “Performance Packs to everyone" .. they need to listen to the instructions as things need to be done in the correct order.

  7. Handout “Performer Packs” to each child. 

  8. Before each child gets off the bus they needs to: 

  9. When you are 10 minutes away, Lead Supervisor should call our Production Manager “Mr Pickles” - 0400 228 972 so we can prepare for your arrival.

​  10. Prepare kids to be offloading the bus - (use bus drivers microphone) to give kids these clear instructions:

“in 10minutes we get to the venue, and we are going to walk to our meeting point straight away…which is a big tree at the back of the Roundhouse. When we get there all Blue wristbands will be sorted into one group, Black in another, White in another." 

This needs to happen fast, no mucking about. We are on a tight schedule” - please keep in mind that we want the kids to be focused but we also want them having fun every step of the way :)

 

  11.  When you arrive call “Mr Pickles” - 0400 228 972 again so we can send a team member out to meet you.

 

 

  12.  Once our kids are off the buses… proceed to “meeting point (the big tree) beside the loading dock (construction fence - big hole in the ground)…check the video. We will direct the VIPs to proceed around to the front doors to check in.

  13. Supervisors immediately organise kids into 3 groups - Black, White & Blue lines,  in pairs (so everyone has a buddy)

  14. After our performer groups are lined up (in pairs) we would like to line them up so they are ready to walk into the venue in the most efficient way possible. That is…

  15. Music will begin inside the venue….When our Production Manager “Mr Pickles” gives you the green light to enter:

Supervisors of Black Group - take your kids up to the Black Room via the small stairs (on the video)

Supervisors of White Group - take your kids up to the White Room via the small stairs (on the video)

Supervisors of Blue Group - take your kids into the Blue Room - immediate left after entering the venue on the Ground Floor (on the video)

 

The goal here is to get your kids into the event room asap as we are on a tight schedule.

 

 

 

  16. In all Event Rooms - (for efficiency) Ask children to place their bags around the perimeter of the room. Direct them them to put all phones on silent + out of pockets & into their bag….no phones on the film set!

 

  17. Toilet Break - Get all of the children seated in a group on the floor in the middle of the room. Let all students know where the toilets are.

Black - use the upstairs toilets (beside the big set of stairs)

White - use the upstairs toilets (beside the big set of stairs)

Blue - use the toilets in the room

A supervisor should accompany the group to the toilets..but not go in. Its important this toilet break happens now & quickly because we have to stay on track for the filming. There will be no toilet breaks in the middle of our filming session.

 

 

  18. Wait for the instructor to come up to the room.

 

  19. Instructor will have a quick chat & the then lead them down to the filming area - where they will be asked to sit in groups at the edge of the film set while our Production Manager has a chat to everyone about how the day rolls out + safety procedures 

 

  20. Slappaphone players + Barrel Players will be placed into performance position first and they will have a run-through with the instructors.

The reminder of the children will then be directed into their spots 

  • 9:45 Rehearsal of Slappaphone + Barrels 

  • 9:55 Performer Placements on drums + Dancer Placements

  • 10:00 Filming Session 1

  • 10:30 Take students to their designated event room - Workshop 1

  • 11:00 Take students to Movie Set -  Filming Session 2

  • 11:30 Take students to their designated event room - Lunchtime for kids

  • 12:00 Workshop 2 (remain in event room) 

  • 12:30 Take students to Movie Set - Filming Session 3 (lunchtime for Supervisors)

  • 1:00 Take students to their designated event room - Workshop 3

  • A list of “Early Child pick-ups” will be brought around to each room. This means that parents (VIP’s at the SUPER JAM) will be signing their child/ren out at the end of the day. These children will not be returning home on the bus.   Please prepare these children during the last workshop (1pm) by calling out their names and have them place there bags together in a line close by the door. When the kids return from the last filming session, they will be ready to be taken down for collection.   A Drum Corp staff member will come around to direct them to the correct area pick-up area immediately after the last filming session (2pm)   All supervisors should make a note of who has been picked up so it is clear when the next role is called.

  • 1:30 Take students to Movie Set - Filming Session 4

  • 2:00 Take students to their designated event room - Grab bags."Early Child Pick-ups will be collected by a DRUM CORP team member and taken to the sign over location with their parents.

TRAVELING HOME

  • Supervisor to mark all students on your list off attendance list before allowing them to board the bus.

       Supervisor to discuss the Walking out to the bus plan

  • Children "to be collected by parents" should be organised into a seperate group. These children will be signed out by Parents in in the designated "Sign-out Area" near front Entrance - Glass Doors. 

             

  • 2:10 Take students out to the bus pick-up Zone

  • 2:30 Bus leaves

  • 2:30 Travel North

  • 5:00 Arrive at Home Drop Off Location (Same as the pick-up)

PLEASE NOTE:

 

What students are required to bring to SUPER JAM:

 

  • Water bottle.

 

  • Own recess and lunch.

 

  • White singlet, black shorts and their black school shoes. 

 

 

What Drum Corp will be supplying for SUPER JAM:

 

  • White T-Shirt for students to perform in. 

 

  • Drum Sticks. 

 

  • Drum Corp bandana. 

 

* All of the items that will be supplied to the students are theirs to keep after SUPER JAM. 

RULES to ENFORCE:

1.    All toilet breaks must happen during workshops or lunch...never during filming. Please reinforce at the beginning of every break and before the end of lunch. Going to the toilet in the middle of filming will ruin the film set.

2.   All food and water remains in rooms. Be sure they hydrate enough in the breaks.

3.   Event Rooms must be clean at the end of lunch and when exiting the venue. As well the buses must be clean of all rubbish when exiting. All rubbish must be placed in the garbage bags provided.

4. Allergy Management - Children are not allowed to share food
